How it works
The spreadsheet has two sheets. On Stock, type how many you've got and the best before date. Common items are already listed, and you can add your own. Days of supply does the sums.
It uses the same figures as the Prep app: an adult at 2,000 kcal and 3 litres a day, a child at 1,600 kcal and 2 litres, and a pet at 1 litre. You can change them. The pet figure is an estimate, because no official source gives one. Be Ready asks for 3 litres of drinking water per person per day, so you may want to type 3 for a child.
Anything past its date counts for nothing, so your total can't be flattered by old stock. That's cautious, because food past a best before date is usually still safe. Use by is different: never eat food after that date.
Calories per pack are typical values, worked out from USDA figures and our own choice of pack sizes. Check your labels if you want to be exact.
Example: two adults need 4,000 kcal and 6 litres a day. Ten 2 L bottles is 20 litres, or about 3.3 days of water. If they've 16,000 kcal of food, that's 4 days. Their days ready is the lower figure, about 3.3 days, and water is what's limiting them.
Common questions
Does it work in Excel, Numbers and Google Sheets?
It's a standard .xlsx file, so it should open in all three. The formulas are ordinary ones, such as SUM and IF. If a program doesn't work them out when it opens, recalculate or save it once.
What's the CSV file for?
It's the same list with no formulas, for anything that reads plain tables. The columns match the CSV that the Prep app exports. The app doesn't import CSV files.
Why does the sheet ask about use by?
Because it changes what you do. A best before date is about quality. A use-by date is about safety, so that item should be eaten, cooked or frozen by that date.
Do you keep what I type on this page?
No. It stays in this browser, and is held in the page's address so you can bookmark it. Nothing is sent to us. The list clears if you open the page without that address.
How often should I update it?
Be Ready suggests setting a reminder every six months to check dates and swap out what needs replacing. Our rotation calendar can add that to your calendar.
